Manage scenes: rename, archive, schedule
The collection is getting hard to keep track of, or a finished scene should go into a program.

Before you start
- For
- Anyone who maintains the collection of scenes.
- Prerequisite
- read permission for scenes. The card menu checks a separate permission for each action: Rename requires the permission to edit, Duplicate the permission to create, Archive and Restore the permission to archive, and Delete the permission to delete. If one is missing, the matching entry does not appear at all — see Permissions by role and by area.
- Where in the portal
- Scenes
At the end, the scene list is tidy: searched and filtered, renamed, duplicated, archived, or deleted. And a finished scene is on its way into a program.
Steps
Set up the list
- Open Scenes. The Search scenes field filters by name.
- The Status filter narrows the list to Draft, Published, Archived, or All.
- Under Sort, you find Recently updated, Least recently updated, Name A–Z, Name Z–A, Status (drafts first), Status (archive first), Recently published, and Least recently published.
- Under View, you switch between Grid view and List view. The list has the columns Scene, Changed, and Status. Columns shows and hides them.
If the list is empty, it says No scenes yet. If only the selection does not match, it says No scenes match this selection.

Edit a single scene
- Open the menu on the tile or in the row. It offers Preview, Edit, Schedule, Rename, Duplicate, Archive (or Restore for an archived scene), and Delete.
- Rename opens Rename scene with the New scene name field. The portal reports Scene renamed.
- Duplicate creates a copy with the suffix (copy) and reports Scene duplicated.
- Delete asks Delete permanently? and needs your confirmation with Delete. Archive is the gentler way: the scene is kept and can be brought back through the Archived status filter and Restore.
Several at once
- Check the boxes on the tiles or use Select all. The bar shows 3 selected.
- Choose Archive selection or Restore selection. Clear selection removes the marking.
Schedule a scene
- In the card menu, choose Schedule. For a scene that is not published yet, the entry stays selectable and carries the note “Not published yet — only visible on displays once published.”
- The portal asks Which program should “Shop window summer promo” go into? and opens a program entry with this content right there.
Options
A scene that uses an app that the booked package no longer covers carries the Blocked badge with the note “This scene uses Weather — not included in your package. It is currently not playing.” It drops out of programs and rotations, but you can still edit it. Two ways lead out: View package leads to billing, and Remove app from scene removes the affected widgets. After that, you need to publish again. The portal reminds you with Widgets removed — publish now so the scene plays again.
Check the result
- The list shows the scene with the expected status and the new name, plus Changed with the time.
- An archived scene now appears only under the Archived or All status filter.
- After scheduling, the scene sits in the program as a program entry, see Create, edit, pause, or delete a program entry.
If something goes wrong
| Symptom | Meaning | Solution |
|---|---|---|
| Scene was changed in the meantime when renaming | Someone else has saved the scene in the meantime | Reload the list and rename again. |
| The program entry stays empty on the displays | The scheduled scene is still a draft | Publish first, see Save, publish, versions, and conflicts. |
| Blocked badge | An app in use is not included in the booked package | View package or Remove app from scene, then publish again. |
| Scene could not be archived | The action failed along the way | Try again. If it persists, check the permission and the connection. |
| A menu entry is missing entirely | You lack the permission for this action — the entry is not shown at all | Check the role or direct permission, see Permissions by role and by area. |
